1. Print double-sided – If you must print and copy, make documents double-sided. Set this as a default on your printer and computer.

The average U.S. office worker is estimated to use a sheet of paper every 12 minutes—a ream per person every two and a half working weeks—and to dispose of 100-200 pounds of paper every year. (Source: ForestEthics.org)

2. Minimize printer emissions – Reduce the number of personal desktop printers to minimize printer emissions in the work area.

Office equipment is responsible for up to 26 percent of energy used in a typical office building. Buying one machine with multiple functions can save over 150 percent in costs compared to buying several single-function machines. (Source: U.S. Energy Information Administration)

3. Maximize equipment efficiency – Make it a habit to turn off your computer—and the power strip it’s plugged into—when you leave for the day

Look for products that meet credible environmental standards, such as Energy Star. Computers, printers, fax machines and copiers should have an energy-saving “sleep” mode that kicks in automatically after a period of inactivity. This equipment uses 40 percent less electricity than average models. (Source: U.S. EPA)

4. Use electronic document management techniques – Avoid or reduce making copies by using electronic distributions, and retain documents on your computer or server. Make good use of scanning technology and e-mail attachments instead of faxing. Don’t print draft materials, proofread off of a computer or video displays instead. Encourage the use of online forms rather than paper forms.

To store two million paper documents, an organization can expect to spend between $40,000 and $60,000 on filing cabinets alone. U.S. businesses spend $1 billion a year designing and printing forms, yet approximately one third of the printed forms become outdated before they are used. (Source: ForestEthics.org)

5. Be bright about light – Make it a habit to turn off lights when you’re leaving any room for 15 minutes or more and utilize natural light when you can.

Switch all lights to compact fluorescent light bulbs (CFLs), which are three to four times more efficient than standard incandescent bulbs. Motion sensors and timers ensure that lights are not wasting energy in an empty room. (Source: U.S. EPA)

6. Cut water waste – Make sure the water faucet does not drip and conduct a water audit to analyze the water usage and identifies opportunities to be more efficient.

According to the EPA, water-efficient appliances would help the country save more than 3 trillion gallons of water and more than $18 billion per year. Using water also uses another precious resource – energy. Letting the faucet run for just five minutes uses as much energy as running a 60-watt light bulb for 14 hours.

7. Find safer cleaning products – Consider organic cleaning products like vinegar, borax and baking soda.

One out of every three cleaning chemicals used to clean in the United States is known to cause human health or other environmental problems. Look for Green Seal or EcoLogo products as safer “green” cleaning alternatives. (Source: NewDream.org)

8. Recycle everything – Almost all paper types: cardboard, glass, aluminum, plastic, steel, tin, milk boxes and juice containers are recyclable. Toner cartridges, batteries, CDs and floppy disks are also recyclable through recycling centers and manufacturers. Recycle folders, paper clips, envelopes, post-its, hanging folders, batteries, rubber bands, etc. Reuse packaging materials and Styrofoam.

Considering the chemicals, energy, wood, water and other resources required, producing one ton of paper uses 98 tons of various resources. And, despite long-term educational efforts, more paper is still going into landfills than is being collected for recycling. (Source: ForestEthics.org)

9. Give preference to locally made products – Buying locally helps conserve fuel, oil, emissions, electricity and other energy sources as well as boosts the local economy.

Moving dollars away from conventional national and agribusiness and toward supporting local business and local, farmers creates a vigorous local economy and sustainability.

10. Develop & publicize written sustainability policies and procedures – Lead by example.

Knowing a company is mindful of its impact on the environment and society, people are 58 percent more likely to buy their products and services and 55 percent more likely to have loyalty to the company. (Source: Natural Marketing Institute 2007 LOHAS Consumer Trends Database)

A copier is no longer just a copier. The days of a multi-function printer being just a printer are gone. In a networked digital era your business’ document handling devices can be just as vulnerable to a data breach as any other networked computer in your office.

This is vital because Savin devices with Document Server technology contain installed hard drives which temporarily store every document processed by Savin printers and MFPs whether copied, printed, faxed, or scanned. While the benefits of sharing stored documents among authorized users are enormous, those gains in productivity and efficiency come with the potential for unauthorized access, theft, or falsification.

Recent high profile reports of major data breaches of secure documents through copy machines have highlighted the damage that can be done.

The good news is Savin products are rich with security-related features. Add to that Standley Systems’ constantly updated expertise in data security and you begin to understand why Standley Systems is uniquely positioned to help our customers keep sensitive documents and data away from prying eyes.

Here is what our customers and clients should know about this vitally important subject:

Savin products offer an array of powerful network protection features through Web Image Monitor and Smart Device Manager.

Device access can be tightly managed through Administrator Authentication and User Authentication controls. Hacker access is thwarted by Kerberos, a network authentication protocol designed to provide strong authentication for client/server applications through secret-key cryptography.

In addition, Standley Systems can provide Data Overwrite Security System (DOSS) software. This powerful utility eliminates information-loss threats by overwriting the hard disk after each job so that files cannot be retrieved or recovered. DOSS functions like a digital shredder and was designed to meet government, military, and major account requirements for document security.

For a nominal charge per device for equipment purchased or leased from Standley Systems, further action can be taken to ensure the security of your data by making arrangements to either leave the hard drive with the end user or shred the drive at the end of the lease term or upon trade-in.

Any Savin device equipped with document storage capabilities can password-protect stored files. Users can set a password, between 4 – 8 digits, directly at the control panel to prevent other users from viewing, printing, or sending the file.

Call a Standley Systems representative to discuss your specific security needs. It is too important an issue to leave to chance.

Beware of Toner Pirates: The Scourge of the Copier Supply
Train Your Staff: Train your employees, temps or volunteers, especially new ones & those who answer the telephone or who provide maintenance or support services. If your employees are not familiar with certain callers, advise them to say something like, “I am not authorized to order anything. You will have to speak to the person in charge of ordering supplies and get a purchase order.”

If you are a Standley Systems Customer with a SERVICE and SUPPLY contract, we don’t call you! We wait for you to call us when you put your last toner bottle in the machine. 800-522-3725. We will process your order that day and if you call before 2:00 p.m., the toner will be shipped that day and you will receive it the next business day with your UPS Shipment. After 2:00 p.m. the order will be shipped the next day and you will receive it in two business days by UPS.

How to recognize pirates:

High pressure sales tactics

No way to contact them back

No financing

Processing or handling fee

No company information can be sent through the mail (only UPS or hand delivery)

No references

Also listen for these:

“Beat the price increase”

“Last remaining in stock”

“Offer expiring today”

Some of the cons are as follows:

The case is only a case of one toner;

The toner is only 5 ounces instead of the usual 16 ounces;

The toner is generic instead of OEM toner

According to the National Office Products Association more than $50 million every year is pirated from innocent consumers.

What to do if you are victimized.

If possible do not accept delivery of unordered merchandise

If you have already accepted the shipment, send the shipper a certified letter with return receipt requested, demanding proof of your order. If there is no valid proof, inform the sender that unless the merchandise is picked up within thirty days, you will dispose of it. By giving the sender an opportunity to recover the merchandise, you invalidate any claim that you accepted an offer of sale merely by keeping the shipment.

If an invoice for the unordered merchandise arrives, withhold payment and do not use the merchandise. If the firm fails to respond to your letter, contact your Better Business Bureau for assistance.

Don’t let toner and supply pirates con you and your business out of time and money. Have you ever gotten one of those annoying phone calls, at just the wrong time, from someone offering you incredible deals on toner, paper and other supplies? They tell you that they have a one time deal, quote you a price that seems too good to be true and pressure you to make a decision over the phone because there is a limited stock on hand and they have lots of other people interested.

These con artists or supply pirates as they are called, quote you prices that seem too good to be true and usually are.

Arm Yourself Against Pirates:

Contact the BBB in your area.

Only do business with reputable dealers.

Know the contact person at your supply company.

Pirates often pretend to be from your regular dealership.

Never give the make and model of any of your office equipment over the phone unless you are sure the person speaking with you is from a local and legitimate company like us.

Always get a number to call the person back to confirm the order.

Never sign for or accept any shipment you did not order.

Have ONE person in charge of ordering toner and supplies.

Make sure all employees are clear on you policies.

Never feel pressured to purchase anything on the spot.

Please remember to always use clear judgment on all of your purchases and remember…”Buyer Beware”.

Standley Systems receives OKStar Gold Level rating.

To receive this designation, a company must demonstrate comprehensive action to reduce waste in all aspects of business through changing practices, processes or products and show that the facility recycles solid waste.

“Reducing waste is something Standley Systems takes seriously, especially being in the business we are in,” said Greg Elliott, chief operating officer for Standley Systems. “As a company that works with all aspects of document management we want to set an example of environmental best practices that give our customers an incentive to be green as well.”

Through a support program and sustainability survey, Standley can identify energy usage and suggest ways to reduce waste and be more efficient. In addition, Standley regularly hosts sustainability conferences that are open to the public, and utilizes copier companies whose equipment are 98 percent recyclable and emphasize demanufacturing of obsolete equipment.

Standley Systems was one of two companies that received recognition at the OKStar reception.
